1.Getting started
Download EzyInsp from the App Store and start using it immediately. No registration, no sign-in, no setup required. The app works completely offline from the moment you install it.
2.Initial setup
2.1 Configure agency settings
Path: Settings → Agency Settings
Purpose: Set up your agency and agent information that will appear on
inspection reports.
Steps:
- Open the app and tap Settings (gear icon)
- Select Agency Settings
- Tap Add Agency (+ icon in top right)
- Enter your agency details:
- Agency name
- Address
- Contact information
- ABN and license information
- Adding Logo File
Adding agents:
- Tap Add Agent (+ icon)
- Enter agent details:
- Name
- Contact number
- Email address
- License/registration number
- Tap Save
Why this matters: Agency and agent information automatically populates on your PDF reports, creating a professional appearance.
2.2 Configure report settings
Path: Settings → Report Settings
Purpose: Customize placeholder texts that appear on the cover page of
your final PDF reports.
Steps:
- Open Settings
- Select Report Settings
- Edit the following sections:
- Document Start Text: Opening statement or introduction for your reports
- Disclaimer: Legal disclaimer text for your reports
- Use the sample templates provided or write your own
- Tap Save when finished
Pro tips:
- Use the "Sample 1" or "Sample 2" buttons for pre-written professional disclaimers
- Customize the text to match your agency's branding and legal requirements
- You can reset to defaults at any time
3.Property management
3.1 Create property details
Path: Properties Tab → + (Add Property)
Purpose: Build your property database for quick inspection setup.
Steps:
- Tap the Properties tab at the bottom of the screen
- Tap the + button (top right)
- Fill in property information:
- Property address (street, suburb, postcode)
- Property type (House, Apartment, Townhouse, etc.)
- Tap Save
Searching properties:
- Use the search bar at the top of the Properties list
- Search by address, owner name, or tenant name
- Results update as you type
Editing properties:
- Tap on any property in the list
- Make your changes
- Tap Save to update
4.Creating an inspection
4.1 Start a new inspection
Path: Inspections Tab → + (New Inspection)
Steps:
- Tap the Inspections tab at the bottom
- Tap the + button (top right)
- Select Agent: Choose the agent conducting the inspection
- Select Property: Choose from your saved properties
- Add Pre-Inspection Notes (optional): Any notes before conducting the inspection, only visible to Agent
- Tap Save
What happens next: The inspection is created with "pending" status and appears in your Inspections list.
5.Configure inspection layout
5.1 Set up property areas
Path: Inspections → Select Inspection → Configure Layout
Purpose: Define the areas/rooms of the property that will be inspected
and photographed.
Option A: Use a template
- Enter your inspection
- Tap Choose Template or Apply Template
- Select from pre-defined templates:
- Standard House: Living room, kitchen, bedrooms, bathrooms, etc.
- Apartment: Compact layout with common apartment areas
- RTA Entry/Exit: Queensland RTA-style inspection areas
- Custom: Start from scratch
- Tap Apply
- The template areas are automatically added to your inspection
Option B: Create custom areas
- Enter your inspection
- Tap Add Area Manually
- Enter area name (e.g., "Master Bedroom", "Front Yard")
- Select area type from the dropdown:
- Bedroom
- Bathroom
- Kitchen
- Living Room
- Outdoor
- Garage
- Other
- Tap Save
- Repeat for each area of the property
Editing the layout:
- You can rename areas by tapping on them
- Delete areas using the trash icon
- Add more areas at any time
- Reorder areas by dragging (if supported)
Pro tip: Set up your layout before arriving at the property to save time during the inspection.
6.Photo documentation
6.1 Taking photos and adding notes
Path: Inspection Details → Add Photos and Notes
Steps:
- Open your inspection from the Inspections list
- Tap on Add Photos and Notes
- Tap Add Photo or camera icon
- Choose:
- Take Photo: Use your camera to capture a new photo
- Choose from Library: Select existing photos from your phone
- After adding a photo, tap on it to:
- View full size
- Add Photo Note: Specific notes about this particular photo
- The photo is automatically numbered for easy reference
Adding area notes:
- Each area has a notes field for overall observations
- Tap Add Area Note or the notes icon
- Enter general notes about the entire area
- These notes appear in the final PDF report under that area section
Photo numbering:
- All photos are automatically numbered sequentially
- Numbers make it easy to reference specific photos in your notes
- In discussions or reports, you can say "See Photo #5" for clarity
What appears in the PDF report:
- All photos for each area
- Photo numbers for easy reference
- Photo-specific notes
- Area-specific notes
- Clear organization by area/room
7.Inspection summary notes
7.1 Adding overall inspection notes
Path: Inspection Details → Overall Notes / Summary
Purpose: Record overall observations, major findings, or recommendations
that apply to the entire property.
Steps:
- From the Inspection Details screen
- Scroll to Overall Notes or Inspection Summary section
- Tap the text area
- Enter your summary notes:
- General property condition
- Major issues found
- Recommended actions
- Client instructions
- Follow-up requirements
Where it appears: This summary text is prominently displayed on the cover page of your PDF report, giving clients an immediate overview of the inspection findings.
8.Completing the inspection
8.1 Mark inspection as complete
Path: Inspection Details → Mark as Complete
Steps:
- Open your inspection
- Review that all areas have been documented
- Ensure all photos and notes are added
- Tap Mark as Complete button
- The inspection status changes from "Pending" to "Completed"
Important notes:
- Only completed inspections can generate PDF reports
- Completed inspections have a green status indicator
9.Generate PDF report
9.1 Create and share your report
Path: Completed Inspection → Generate PDF Report
Steps:
- Open a completed inspection
- Tap Generate PDF Report button
- The app creates a professional PDF including:
- Cover page with agency details and ABN/License
- Document start text (from Report Settings)
- Inspection summary notes
- Property details
- All areas with their photos (numbered)
- Photo notes and area notes
- Disclaimer text (from Report Settings)
Once generated, you have two options:
Option A: Save to phone
- Tap Save to Files
- Choose location on your device
- PDF is saved for later access
Option B: Share immediately
- Tap Share or email icon
- Your device's email app opens
- PDF is automatically attached
- Enter recipient email and send
PDF report contents:
- Professional cover page with agency branding
- Complete property information
- Inspection date and agent details
- All documented areas with photos
- Numbered photos for easy reference
- All notes (photo, area, and summary)
- Legal disclaimer
- Professional formatting throughout
10.Data management
10.1 Export all data
Path: Settings → Export Data
Purpose: Download all your data for backup or transfer purposes.
Steps:
- Open Settings
- Tap Export Data
- The app creates a ZIP file containing:
- agencies.csv: All agency details
- agents.csv: All agent information
- properties.csv: All property records
- inspections.csv: All inspection details
- pdfs folder: All generated PDF reports
- Choose where to save the ZIP file
- Use it for:
- Backup purposes
- Record keeping
What's included:
- Complete CSV exports of all data
- All previously generated PDF reports
- Organized in a single ZIP file
- Easy to open on any computer
10.2 Clear all data
Path: Settings → Clear All Data
Purpose: Permanently remove all data from the app.
⚠️ IMPORTANT — USE WITH EXTREME CAUTION
Steps:
- Open Settings
- Scroll to Data Management
- Tap Clear All Data
- Read the warning carefully
- Confirm deletion
What gets deleted:
- All agencies and agents
- All properties
- All inspections
- All photos and notes
- All generated reports
- ALL user data
This action:
- Cannot be undone
- Is permanent
- Removes everything
Before clearing data:
- Export your data first using the Export Data feature
- Make sure you have backups of important reports
- Confirm you really want to delete everything

Before your first inspection:
- Set up Agency Settings
- Configure Report Settings
